Before you let customers in: a checklist
The assistant answers from the moment a WhatsApp number is connected, so this checklist is not about switching it on — it is about answering well. Each item says what to do, why it matters, and what the product checks.

Most launch checklists exist to tell you when to press the button. This one does not, because there is no button. Work through it before you connect your number, and the first customer who messages you gets an answer you would have written yourself.
How to use this checklist
Every item below matches something the product measures, in one of two places. The Before you go live checklist — on the setup wizard, on the page you land on after connecting, and as Make your assistant better on the dashboard — is a nine-step assessment read from your live data every time it is drawn. The AI readiness score scores the same ground out of 100 and names what to complete next. Neither of them stops the assistant answering: they tell you how good the answers will be, not whether there will be any.
The checklist
Step 1 Verify the email address on your own account.
- Why it matters: it is how we know a real person can be reached about the account, and the Set up human handover step counts the same verified people, so the two always move together.
- The link is valid for 24 hours and works once — see Create your account.
You should see: Verify your email turns complete on the Before you go live checklist.
Step 2 Fill in your business name and a short description on the wizard’s Business details step.
- Why it matters: the name is how the assistant refers to you in every reply, and the description is the context it falls back on when a question does not match anything specific.
Step 3 Set opening hours for all seven days, marking the closed ones Closed.
- Why it matters: without hours the assistant cannot tell a customer you are shut, and “are you open now?” is one of the most common first messages. See Business hours and after-hours replies.
Step 4 Add at least 3 services, with their prices.
- Why it matters: prices are exactly what customers ask and exactly what an assistant must not guess. One service is the minimum the launch checklist accepts; three is what the readiness score treats as complete. See Services and prices.

Step 5 Write at least 5 frequently asked questions, in your customers’ wording.
- Why it matters: these are the answers the assistant reaches for most often, and the ones you have already checked. See FAQs.

Step 6 Add at least one policy — cancellations or refunds.
- Why it matters: policy questions are where an assistant either answers with your rules or hands the conversation to you. Worth 5 points on the readiness score.
Step 7 Upload the documents customers ask about, and wait for them to finish processing.
- Why it matters: uploading is not the same as being searchable. Nothing is used in an answer until processing has finished. See Uploading documents.
You should see: Add what the assistant should know turns complete once at least one source has finished processing and none is waiting for review.
Step 8 Choose the tone of voice on the Tone of voice step.
- Why it matters: it is 5 points on the score and thirty seconds of work, and it is what stops a formal clinic sounding like a skateboard shop. See Assistant settings.
Step 9 Ask the assistant at least 3 test questions in the test simulator, and read the sources it used.
- Why it matters: this is the only place you see an answer before a customer does. Nothing is sent to anyone. See Test simulator.
- Note that the simulator does not complete the checklist’s own Test the assistant step — see the table below.
You should see: The Test the assistant signal on the readiness score reaches its full 10 points at three.
Step 10 Add the people who will take conversations over, on the Team screen.
- Why it matters: the assistant hands a conversation over when a customer asks for a person, sounds frustrated, or raises a sensitive topic. Somebody has to be watching the inbox when it does. See Invite your team.
You should see: Set up human handover turns complete once at least one member has a verified email address.
Step 11 Open Billing and check your plan, your trial end date and your answers allowance.
- Why it matters: when the trial ends the assistant stops answering, on the day, with no grace period. See Your free trial.
You should see: Choose a plan is complete while a live trial or an active plan permits AI replies.
Step 12 Only now, connect your WhatsApp number — and stay on the inbox for the first hour.
- Connecting has prerequisites of its own and involves a Meta pop-up plus your phone: Connect your number with Embedded Signup.
You should see: Customers who message that number start receiving answers, and their conversations appear in Conversations.
The nine steps the product itself checks
This is the Before you go live list, in the order it works through them. It is assessed from your live data every time it is drawn — you cannot tick anything by hand. Five of the nine are the technical facts an account needs before it can serve anybody at all: a verified email, an organization with an owner, accepted terms, a plan or a live trial, and a connected WhatsApp number. The other four are advice, and the assistant answers without them.

Two things are worth knowing about the list. Test the assistant cannot be completed before you connect, because it counts real answers rather than simulator runs — so a brand-new account will always show it open, and that is not a problem. And if your organization is suspended or scheduled for deletion, every open step shows as blocked and the list says so.
The readiness score, in full
The AI readiness score card on the dashboard adds ten signals to 100 and lists what to complete next. It gates nothing — it is the coaching layer over the same data.

Below 40 the card reads Needs setup, below 70 Almost ready, and from 70 upwards Ready. One signal is quality-aware: once the last 30 days hold at least 10 AI answers and fewer than half of them resolved, the testing signal is held down to 5 points however much you have tested — the product’s way of saying that real conversations disagree with your test questions.
What connecting does, and what it does not
- It puts the assistant in front of your customers. Every message to that number is answered from whatever business information you have entered by then.
- It takes you to a confirmation page that says, in plain words, whether the assistant is live — and if it is not yet, what is still happening.
- It makes the Your assistant card on the Overview read Live, with your number under it. You do not press anything to make that happen.
- It does not finish your setup for you. Services, FAQs, documents and tone stay exactly as you left them, and the Before you go live list keeps showing what is still open.
- It does not commit you to anything. Pause the assistant stops it again at any moment, without disconnecting the number.
The day you connect
Plan to be at a screen for the first hour. What you can do while you watch:
- Read the first conversations in the inbox as they arrive — see Conversations.
- Use Take over on any conversation to answer as a person, and Pause AI to stop the assistant replying in that one thread. Both are per conversation. See Take over a conversation.
- Expect a handover when a customer asks for a person, sounds frustrated, or raises a sensitive topic — Handover to a person explains what triggers it.
- Fix what you see rather than what you feared: a wrong answer usually means a missing FAQ or a price the assistant never had.
- Keep an eye on the answers meter on Billing for the first few days, so the allowance does not surprise you.
Can I connect the number and keep the assistant quiet while I finish setting up?
Yes. Connect it, then press Pause the assistant on the Your assistant card. Nothing is answered until you resume, and messages still arrive in your inbox meanwhile. Working through this list before you connect is still the calmer path, which is why the article is ordered the way it is.
Do I have to finish the checklist before customers can be answered?
No. Connecting the number is what makes the assistant live, and the checklist never blocks it. What the list changes is the quality of the answers — with an empty knowledge base the assistant tells the customer it does not have that information rather than inventing it, which is safe but not much use.
How many services and FAQs are actually enough?
None are required. The readiness score awards full marks at 3 services and 5 FAQs, and the Describe your business step wants a name, opening hours and at least one service. In practice, cover the questions that make up most of your week — that is what decides whether an answer is useful.
What happens the day the trial ends?
Answering stops on the day, with no grace period, and the Billing screen says so. Nothing is deleted: your conversations, knowledge base and settings are kept, and choosing a plan starts answering again. See Your free trial.
